Q: Outlook 2016 cannot delete an incomplete mail account (pst) data file

Installed MS Office 2016. In setting up an email account in Outlook, I somehow left off the .com part of my email address but never the less, it appears as one of the email accounts on the screen. It does not appear under my account settings but I can see an entry under the data files tab. I can select it, then attempt "remove" and get this error msg. Its location is on one drive which cannot also be removed. It says it is being copied ?? It has been doing (it) for 12 hours now.

Is there a way to make outlook delete mail in the sent folder with a imap account? I delete them and they stay, albeit with a strikethrough showing they are marked for deletion. But the only way to delete them so they are gone is go to my webmail page of the account and delete them there.

IMAP protocol's biggest advantage is also its biggest problem: the folders are and remain synchronized. You can move the sent messages to another folder to keep Sent folder empty, but in doing so both the Sent folders (local and server) will become and show empty.

Simple answer to your question: no, it's not possible. Check your provider if it is possible for you to use POP3 protocol, it would allow you deleting locally and keeping files on server and vice versa.

I figured this out.  When I reconfigured my e-mail account in Outlook, I used IMAP settings instead of POP3.  This was not how I did it before.  IMAP works great if one wants to keep all e-mail out on the server and access it from various devices.  That isn't what I do.  I changed the profile to POP3 and the poblem was solved.  Still don't know why it initially failed two nights ago, though.

I've just upgraded my Outlook 2010 ANSI .pst file to an Unicode format by creating a new .pst and importing data from the old .pst. I want to delete the old .pst, but I get the error message "You cannot delete this Outlook data file. Configuration information in the file is being copied to your new default data file. You can delete the file after this information is copied."

I don't think information is being copied, as I've waited to see if it would resolve, but I do think that there is still some connection to the old .pst file that is preventing deletion. I have changed the folder of my email accounts' storage location to the new Unicode .pst. What else do I need to do?

OS: Windows 7 64-bit.

I am trying to setup a new outlook data file for 2009 which will receive my email for the year. I save all my email on the various servers where I have email accounts and have the email forwarded to outlook. I setup the new pst for 2009 and redirected mail to it. Now all the previously stored email messages on the servers going back to 2007 are being re-downloaded to the new PST for 2009. Is there anyway to just have new email go to the new PST and leave the old email where it is? Or do I have to let everything download and just delete pre 2009 email once it is downloaded?

Hope it is clear what I am trying to do. Thank you in advance for your assistance. It is greatly appreciated.

Just delete the e-mails you don't want. You could create a Rule to delete everything prior to the first of the year, it would probably take the same length of time for either task.

I just tried it and had the same results when I created a new .pst file and made it the new Default Delivery Location. All messages stored on the server downloaded again.
Normally, I just create a new .pst file label it for last year and move everything out of the current .pst file.

You can also enable Archiving and messages will be archived into an archive.pst file. Though I prefer manually archiving so I know what was moved.

I have just set up a Gmail account and it works fine when accessed via the web. I tried all day to include it under my Outlook 2016 with no success. Imap is enabled under Gmail settings but I keep getting the following message when I test the account settings

'Log onto incoming mail server (IMAP) server failed.'

I have searched the web for a solution and have tried 993 and others for the port number and set SSL for the type of encrypted connection with no success.

Will someone please help me get my Gmail account set up under Win7 Outlook 2016?

I've just done a clean install of Windows 10 on another PC; I've also installed Office 2016.

After all the fuss created with previous version of Outlook, I can't believe that Outlook 2016 still doesn't have an option to Export Account Settings. Has anyone got a way to do this?

I've been trying to set up Outlook 2016 on my new Surface Pro 4 but it won't connect to my Office 365 Account/Microsoft Account. The rest of Office works fine I'm just having trouble with Outlook. Is anyone else having these issues? I was thinking it might be my 2FA but I don't want to turn it off if it won't even work. I have a new 8.1 laptop on which I will also install Outlook 2016.
Is it possible to transfer Outlook data from old to new laptop?

Or would it be easier to install both WLM + Outlook on the new laptop and just do the transfer once on there?

I am running Outlook 2016 under Win 10. Under all previous versions of Outlook I have be enable to increase the time a new email alert stays on the screen by editing the registry like this.


I have set the value of that DWORD to 360000 in an attempt get the alert to stay on an hour. The alerts stay on only about 3 or 4 seconds.

How can I make the alerts stay on longer?

Sounds like you are using Google Apps for Business with a domain name you own.
There are special steps you need to follow to get Google Apps to work with Outlook. I believe there is a special Outlook connector, I believe it's called Google Apps Sync, that you'll need to download and install; there are also some configuration changes you'll need to be make in your Google Apps configuration as well.

Outlook 2016 Windows 10 Version 1607 build 14393.321.

I get no new email alert on my HP Laptop when a new email comes in. On my desktop using the same W1-build I do.
Outlook 2016 shows up in Settings/system/Notifications/Get notifications from these senders. I have the Display Desktop Alert checked in Outlook's File/Options Mail.

Can someone tell me what else I need to do?

Backup and replace this file with a sound you like named the same way.
C:\Windows\Media\Windows Notify Email.wav

It worked for my Windows 10 / 2016 setup. You'll have to take ownership and full control of the file to replace it as well.

Hello Everyone,

I am setting up my email accounts in Outlook 2016. I always do a manual setup and on my email accounts, I use Exchange ActiveSync.

My questions are this.

What is this new option of selecting Office 365 and when would I use this option?When I did select the Office 365 option and pressed next my outlook would crash, any fix?What is the best selection to choose from when setting up my account that would be great for automatically syncing with my calendar etc. on or apple etc.?

Manual setup for accounts is absolutely unnecessary, Outlook 2016 does that automatically in a few seconds.

That being said, if you insist in doing it manually the correct option is Exchange ActiveSync. Office 365 option is for so called workplace email accounts, Azure AD / Office 365 for Business or Enterprise users. You select that option only if your organisation uses Office 365 and you want to set up your workplace email in Outlook 2016.

There are no such things as Outlook mail accounts (in the context of your question anyway). Your mail account is on a server where Outlook fetches mail from.

The better way to set up mail forwarding is on the server. If you have some sort of a web interface or a shell account, then you may be able to set the forward address yourself. Otherwise, talk to the mail server administrator.

You can set up mail filtering rules in Outlook too, which say that whenever Outlook receives a new message, it will send it so somewhere else. This approach is very bad though, since you would have to have your Outlook running 24/7 to keep the forwarding ability.

I added an account to the mail app in windows 10 and there is no way to remove it only to add more.

To my shock and horror Windows 10 then removed my computer password and nickname and replaced it with my full name and changed my main pc password. (how dare you? without even asking?)

It seems Microsoft think we need to be told what we want rather than make up our own mind.

I'm already sick of this and would like to remove my account from this app altogether.

So I added my outlook account to the Windows 10 mail app. I can get mail on my iPhone and thru the outlook site in the Edge browser, BUT the mail app wont let me log in, wont let me delete the account (it says "something went wrong" and wont sync with my account. So what in the world can I do to fix this?

I am importing an Outlook 2016 generated .CSV contact list into a webmail email account but keep receiving the following error.

Unknown error for item "(Unknown)": Could not parse csv file - Reason : missing column name for column[92]

There are 92 columns and each one has a column name. 92 columns is what Outlook 2016 generates, most columns are empty, just the name. I had previously tried deleting columns with no data but still got the same error, and always for the last column.

Is there a trick to get this contact list imported successfully? I am trying to create a whitelist filter to reject all email where the FROM name isn't in my contact file. My .CSV file contains 162 rows.

I am using Windows 10 and Outlook 2007. I set up a new e-mail account with and then set that account up in my Outlook 2007 software. When I attempt to send/receive my e-mail my account returns the following error: Sending and Receiving reported error (0x80040126) : the operation cannot be performed because the connection to the server is offline.

I have Outlook 2000 Inbox set up as follows:

( Notice the circle around the "Account" tab) But, my friend has Outlook XP and can't get the "Internet Account" tab to show which Internet Account (i.e. Comcast, Yahoo, AOL, etc) that the incoming email is from like mine is with Outlook 2000.

He can only get the "tab" to be displayed that states "Internet Account" but the tab's contents (unlike mine) remain blank when he gets mail from any of the accounts.

Is this done differently in XP compared to 2000 Outlook??? How can I get his "Internet Account" tab to show which account incoming mail is from like mine is in the pic???

Hello all I run most of my daily operations off of Delete folder account IMAP for Outlook my iMac and I run Entourage on my Mac for email I have two IMAP accounts that I access on a regular basis In Entourage I have an option in the advanced tab for each account that allows me to handle how I Outlook Delete folder for IMAP account want to handle deleting messages from the IMAP server It's called quot Delete Options quot and I have selected quot Move messages to the Deleted Items folder quot selected This is great because I always have Outlook Delete folder for IMAP account my deleted messages stored in this file for future reference Note I also have the quot Purge Deleted Items quot option selected to purge this folder every days My problem is I use a PC when on the run and I would like it to handle deleting items the same way as my Mac Right now when ever I delete an item in Outlook it does not Outlook Delete folder for IMAP account go to the Deleted Items folder It just magically disappears forever Can someone help me out to get Outlook to act like my Entourage Thanks

I have just installed OL 2010 for the first time and created 3 different accounts (or identities), and now I see that there are a number of mail maps for each of these accounts.
How can I change it, so that mail to/from all accounts are placed in the same maps?

After running combofix on several Windows XP computers, I noticed that in Outlook Express Mail Account entries were missing. This seems to affect only OE, Microsoft Outlook was not harmed and also Windows Mail kept its acc's.
Any idea how to bypass this account removal?

I recently formatted my Windows XP due to various problems. I have verizon email account. Prior to formatting, my emails were deleted automatically from the web account ( each time I opened outlook. However, this changed after the reformat. I now have two copies of each mail- one in outlook and the other one in the web account. What setting do I need to modify in outlook? Thanks in advance.

After restarting my computer outlook will work fine the first time it is opened. However, if it is closed and reopened it will no longer allow us to delete mail. I found a post that suggested deleting the inbox.dbx file and I did so. It worked for a while and now it is not allowing me to delete mail again. I have deleted or moved all mail in the inbox folder to other folders and emptied the deleted items folder. Any Ideas??????

Back up any mail you currently have in Outlook. Also back up your address books.
Uninstall Outlook, reboot, then reinstall.

Export Mail and for from calendar which was recently upgraded from Win to Win She's been using Outlook com and has accumulated a fair amount of email contacts and calendar appointments I've managed to get her email to show Export calendar from Mail and Calendar for Windows 10 to Outlook 2016? up by adding it to Outlook as a POP account I was able to import her contacts into Outlook from a file called OutlookContacts csv Now I'm trying to get her calendar with all its many calendars and appointments into Outlook I'm not sure why but Export calendar from Mail and Calendar for Windows 10 to Outlook 2016? the appointments all show up just fine in Mail and Calendar for Windows even though we did nothing to put them there as far as we know But she'd like them to appear when she clicks on the Calendar in Outlook and Export calendar from Mail and Calendar for Windows 10 to Outlook 2016? I can't find any information on how to do that I've also looked for some kind of Export function in the Mail and Calendar for Windows app but I came up empty How do I get her calendar into Outlook I can't be the only one who finds Microsoft awful at documenting this kind of basic functionality Millions of people must have tried to do the same thing before me but if there's any information out there on how to do this it has eluded me so far

You can manually export calendars from using a round-a-bout method I posted at this link. However, I don't think that's going to help you because what you really want to do is set up Outlook 2016 so that her email, calendar and contacts sync with (and stay in sync with) her account.

Therefore, instead of setting email up as a POP account and then importing calendar, contacts, etc. separately, why not just setup Outlook 2016 to work with her account? I haven't done it with Outlook 2016, only older Outlook versions that used Hotmail Connector, however the following instructions for Outlook 2016 seem fairly straight forward.
If she has two-factor authentication switched on for her account, then you may need to generate an app password from her account, and use that as the password instead of the actual Microsoft Account password.

Hi I was having a problem where outlook was not syncing my sent mail past last week.

so I deleted my email address account and wanted to start again and change settings from pop3 to imap

When I deleted the account I found I could not fully remove it from the side pane as it was set as the default email address.

I then decided to re add the same email address in the hopes that I could use the new one as default and delete the old one

Now I am still stuck with the same email address that I could not remove from before and I am having a new problem where the sent mail will not sync from today

I have uninstalled office and re installed it but the address is still saved somehow?

All Outlook account details are stored in your Documents Library under Outlook Files & are stored in .pst format & can only be accessed from within Outlook & any changes can be done as I mentioned above.

A friend has six basic POP Outlook email account on his XP. He deleted an account via the standard Tools, and Account removal process. The account no longer appears on his Accounts list. But when Outlook is launched the standard pop up window still continually appearing showing the name of the deleted account and the ?Please type user name and password? prompt. I have somehow deleted my personal folders in my inbox. When I restore a .pst file from previous backup, I have everything such as inbox, deleted items, sent items, etc. However, the personal folders I created within inbox are missing. I am so confused. They have had to been backed up because I can go back and recover deleted emails from years ago, yet I still cannot find my very important folders that I created within my inbox. This pertains to the discussion as I am using Outlook 2013 and I was able to find them when my hard drive failed a year ago, but as of two days ago, I cannot find them. Is there something hiding them? I have used scanpst.exe as well but to no avail.

Personally I would leave the account as it is. An IMAP account have the advantage of leaving copies of e-mail on the server. So in the event of system failure all your e-mails are safe.

Hi! I have changed computers (from a '98 to an XP) and have set up all my email accounts in Outlook 2000. Don't want to use Outlook Express because it interferes with attachments people send me.

My problem is that it won't let me select which address I am sending from! This creates great confusion for the customers of our three businesses. I have clicked on the Options button as Outlook advises but it keeps telling me that it is out of memory and to close other programs and try again. This even happens when there is nothing else open.

Any clues?

Good Day Everyone a few hours ago, I just finished installing Windows Professional x32 and had a problem with deleting the windows.old because of the permission bug.

Well I managed to delete the Windows.old by editing my security and user however when I log-offed, I saw another user account that I think I've mistakenly made while editing the security in the properties of a folder in windows.old.

My problem is, the delete function GONE!

The mistakenly made user is Administrator.
When I logged in Administrator, a pop-up appeared saying that it is a temporary user account.

I really want to delete it, It's a nuisance every time I log-in and takes some space.

Can anyone help me regarding this? I will appreciate it greatly.

I tried to send a large file (30mb). I recently installed cable internet and didn't think I would have a problem. However the file won't send and I get a timeout error. I tried to delete the file from the send folder and it seems to lock up and gives me an "outlook express not responding" error. I locked my firewall and even disconnected my cable modem with the same problem. How can I delete this file?

Hi, we recently purchased a group of PCs with Windows 10 installed at our institution. We would like to configure the PCs to have a guest account and when a user logs off the account his or her files would be deleted (much like the guest account of a Mac), is there a way to do it?

If this is not possible, is there a way to configure the PCs so they are for public use? (such as limit access with files deletion upon logging off)

When Win 8 asks you to verify your account, it shows you your email address in one box with some of the characters replaced by *s and wants you to type in the email address in its entirety in another box. Once you do that, an email is sent to that address with a code for you to enter to verify.

There shouldn't be any confusion about which email address to enter unless you have 2 different but very similar email addresses.

I have been cleaning up my folders/files and moved all my videos and images + documents to an external hard drive. Now I can't find all my current emails and folders. I can find an old version from beginning of 2013 with a different email address I no longer use.

However, I have just checked my external drive and I have found one OUTLOOK data file file showing my correct email address size 1.36 Gb and a small data OUTLOOK file size 158MB.

How can I restore and transfer the two data files back into my OUTLOOK? I also need to get rid of the older version email address which I no longer use.

Hope someone could help me please.

Have you checked for any previous versions of the data file? From the file properties tab "Previous Versions" (assuming you have System Restore turned on for files)

You handle all data files from the Account Settings, tab "Data files". But I think you can just copy and replace the data file with your backup as long as the names are the same and Outlook isn't running.

I have installed Office 2007 (I am still running Windows XP) and want to use Outlook 2007 as my default mail. I am running Outlook Express at present. I followed Microsoft's instructions to import all my folders across but when I tried to import account name and account settings from Outlook Express under the Import and Export facility in Outlook I clicked Import Internet Mail Account Settings and then Next but received a message saying there were no other Internet accounts. My mail is still only being sent and received from Outlook Express. When I open Outlook 2007 it asks if I want to make it my default and I clicked yes but my mail is still only being sent and received from Outlook Express. Can you advise how I make Outlook 2007 my default mail account?

I have a client I'm trying to help with an e-mail issue I was handling this remotely and can't give you much info about the system beyond the fact that he is running Windows He has Outlook on the system and was previously popping his Gmail into Outlook and everything was working fine Then he bought a tablet and set his e-mail up on the tablet and says that the next time he tried to get to his e-mail on his computer it didn't work I first tried to set up a new account in Outlook using IMAP I followed Gmails e-mail up to Outlook in retrieve Thunderbird account or set Unable from guidelines and triple checked the settings so I know Unable to retrieve e-mail from Outlook or set up account in Thunderbird they are correct It still wouldn't work and just rendered a generic error saying the servers couldn't be contacted The client then agreed to try Thunderbird I attempted to set up the account in Thunderbird but it said the password was not valid I then re-checked his e-mail address and had him enter his password again Still didn't work Out of curiosity I then entered the information one of my own Gmail accounts Unable to retrieve e-mail from Outlook or set up account in Thunderbird and again it said the password was incorrect I then entered the information for one of my Yahoo accounts and again it said the information was incorrect At this point I am at a loss as to where to go from here Any help would be greatly appreciated

Is an Outlook 2003 data file compatible with Outlook 2007? I hope to be able to copy the details of my Outlook 2003 email accounts, emails, contacts etc into an Outlook 2007 installation on another machine. Can I simply copy the data file over to the Outlook 2007 installation and select it as the data file to use in Outlook 2007?

Will this process copy the passwords and settings stored in my Outlook 2003 installation? Or, will I have to reconfigure the email accounts and passwords again in Outlook 2007?

I am running Outlook 2007 on a Windows Vista machine. I have recently set up a second email account in Outlook. I have no problems sending or receiving from either account, however when I recieve email for the new email account (not the defalut account by the way) I recieve the same message twice.

I've looked at the headers for the two different emails, and it appears that one is being sent to my default address. I obvioulsy don't have any forwards set up, or anything like that.

I was told it was a known issue with Outlook 2007, but nobody seem to have a work around for it.

Any suggestions are appreciated.

I noticed that in emails I sent to the secondary account from the primary, the email address appeared as:

[email protected]_address' with the single quotes present

instead of Addressee ([email protected]_address)

Things were complicated a bit by the fact that the secondary account (my wife) also had a 2nd email address (her job). After I straightened out the address book, everything works just as it did in Outlook Express.

I keep contact details in my Microsoft account (at Sign in to your Microsoft account). I've been using Outlook 2010 with the Microsoft Outlook Hotmail Connector and this used to synchronise my contacts fine.

However, for a while now, I've noticed mail synchronisation errors and I've had to configure my Microsoft mail account to use the standard IMAP settings (not via the Hotmail connector).

However, this method no longer synchronises my contacts. How do you configure the mail and contact settings in Outlook 2010 to synchronise both mail and contacts in Outlook 2010 with my Microsoft account?

I solved it! One complication was that my Microsoft email address is personalised and doesn't end in The procedure is:

Uninstall the Outlook Hotmail Connector since this no longer works.If your MS Outlook email address doesn't end in then you need to create an email alias online in your MS account which does end in .outlook.comAdd a new account using the account wizard using your MS Outlook email address ending in (which can be an alias)The account should configure quite quickly. You then have to restart Outlook 2010 and it will download and synchronise all emails, contacts etc.

I have Live Mail up and running, and have imported my contacts from Outlook 2002 by exporting and importing as a CSV file.

As Live Mail only wants to import messages from Outlook Express 6, windows Mail or Live Mail (and doesn't seem to want to look at CSV or other data files), any thoughts on getting my messages, calendar etc. from Outlook 2002?

In Outlook Express is there a way to delete a e-mail without opening it? Can you just look at the message and delete the e-mail without it opening up. I received a virus because I deleted a e-mail and the next e-mail automatically opened which contained a virus. I looked in options but didn't find anything. Any information would be extremely helpful.

First off you do not get a virus from viewing the text in an e-mail message however if you suspect there is an e-mail that needs to be deleted while closed click the view tab up top and then click layout and then remove the check mark in show preview pane. This will prevent the e-mail from opening by just clicking on it and allow you all the time you need to delete it. Remember to use same procedure deleting it from the delete box.

I am running Vista Business with Service Pak 1. Windows Mail indicates that I have a corrupt file : C:\Users\Danny\AppData\Microsoft\Windows Mail\Backup\new.
I have attempted to run check disk via all the suggested methods posted on the forum to no avail. I performed a hardisk diagnostics provided by my laptop manufacturer, which passed.
Can I simply delete the "New" folder (through "Explorer") and create a replacement 'new' folder?'

You could use PROBLEM TWO in the tutorial below to reset Windows Mail back to default. You can try with the backups first. If that does not help, then reset with only the messages backed up.

You might also check to see if your antivirus program may have any email scanning options enabled. If so, you should disabled or turn off that option to prevent it from interfering with Windows Mail.

Drop the "service" and pay a small amount for a different service. I switched to - price is very low and service has been fantastic.

I dropped the MS account long ago and cleaned out my Gmail so there is nothing to see. Have to keep it in order to update my Android tablet otherwise I would trash it, too.

I am migrating from an XP SP3 desktop to a Windows 7 64 bit machine. I use Outlook Express extensively on the XP machine, but have loaded Live Mail on the W7 one as the recommended solution.

I have experimented with the Import function in Live Mail using the .dbx files produced by OE held under 'Identities' but find that the Account field for each email (visible in Live Mail when the Account column is enabled) is not being populated in Live Mail. Am I doing something wrong, or is this a bug? I note that any new emails I receive do populate the Account field, and I am confident that the Account information is present in the .dbx files.

I would like to find a workaround for this problem - any ideas folks?

I suppose you could call it a bug. It seems to happen whenever you do an import using the "import/export" "wizards". Not just with OE>WLM but also WLM>WLM. (Same with Vista's built-in WM.) It's been too long for me to remember what happened when I last did OE>OE. Keep in mind that wherever an import/export is involved (even with contacts), some fields are lost.

Hello. How can I make gmail pst file the default delivery location in place of exchange ost?

We switched away from Exchange (2003) to gmail IMAP. All needed emails and contacts are now in gmail and are synched with the local machines.

I cannot delete the exchange data file in Outlook 2010 "account settings." because it is the "default deliver location." It says to create a new one. How do I do that? Thanks.

I would like to get a script going that checks column A in an Excel spreadsheet with the contents of another file. The other file can be separate Excel file or a txt file. The script would delete the entire row of data in the main spreadsheet when the data (string) in column A matches anything listed in the txt (or other Excel) file.

We're having difficulty with a large data file of 4 million records in Access 2000. We can't delete records after it has been linked. Also, when opening an unlinked database, it automatically links it.

I hope someone out there has the answer as I have spent many hours trying to work this porblem through.

My outlook 2002 contacts when I transfer to mail merge there is an inconsistency with the details I have entered in the data. Like one will have the Mr and then it will miss a few then maybe decide to add it again there is no pattern happening. So when I attempt to enter say a 300 odd contacts mail merge I have to individually go through and alter and check each one. My outlook contacts data is filled out corectly with the Mr & Mrs (or whatever is applicable). At time it will say Dear Anna (not Dear Ms Cox) then on the next one it could say Dear Mr Williams - whereas all the data is filled out exactly the same. I hope this makes some sense it's driving me mad!!!!
