Q: access 2000 database

I have a membership database created by someone who is no longer available to consult. It contains fields to check for organizations joined. The information was for 2008. I am getting ready for a new year and would like to keep the 2008 information but create a new form that clears those fields to insert 2009 information. Do I need to copy the 2008 database and save as 2009. I know this will sound crazy, but how do I do that? When I open the document and click save as it says save switchboard to _____________; save as _____________

Is it possible to convert an Access 2000 database to Access 7.0? I have an old machine that I would like to run a database on but it only has Access 7.0 for WIndows 95.

I have an Access 2000 database with two tables. Table 1 is the master with 78000 records. Table 2 is a sub set of table 1 with about 15000 records.

What I am trying to do, is create a 3rd table. This table will also be a subset of table 1, but will be a list of the records that are not listed in table 2.

Database is a far better solution and it wouldn't be that hard. One table for the caller and any info pertaining to them. One table with the agencies, and one for services. Then one last table to track the activity for each client. The one thing you need to try to avoid is duplicating client records by setting up a search page where you can verify the client being in the db or whether they are a new client.

When I run comcheck I get the following error (see
below). When I search for info on odbc32.dll it says I
need to reinstall MDAC files.

I have updated all my service packs and all the latest
updates to Windows 2000 have been installed. But I don't
know how to update MDAC 2.7 (I have reloaded it several times)--- and everything I read says
I can ruin my entire system if I am not careful.

It seems I need to uninstall 2.7 and then reinstall it but
I have no idea how to do that.

Is it possible to rename a secured Access 2000 database without messing-up the security permissions?

A number of employees (including myself) are using a secured database that I created. I want to change the name of the database but I'm worried that the .mdw file isn't going to recognize the name of the new database. Therefore the security permissions may get messed-up. That is my concern anyway... I used Access 2000.

Can someone tell me the most efficient and secure way to backup a secured database?

I have a secured database (usergroups, names, etc.) and I want to be able to back-up the db's info in the event that the database crashes. Currently, I'm exporting the necessary tables to an outside database (which is in a different directory). However, I don't think this is the best way to go about backing-up the db because the db that the information is going to IS NOT secured. As a result, someone can obtain the db's info from there.

I presume that the database is not located on a server that gets backed up nightly, right? Can you just copy the database to another location? It should bring the security with it.

I have a 3 PCs peer-to-peer network sharing to use a Access DB file which resides in say PC-A. Most of the time PC-B and PC-C would open file to do data entry.

PC-B never has any problem.
PC-C the person has been complaining records missing... say she puts in new records 2 days ago, now when she opens the file she cannot find those records. This case does not happen all the time, just hit & miss!
All PCs are WIN98 running Office 2000.

1. Do I need to apply any fixes (SR1?)
2. Is there any sharing issue that I missed?

Currently all I am doing is making PC-A with a shared folder to house the Access data file.

am finalising a database for workplace and hoping to include feature to send emails to several people at same time from Access. I understand I need a code for this, can anyone help? We're running Access 2007 but using database in Access 2000 format. Worth noting that this is a secured database and I have already tried instructions at and but no luck.

Also having problem importing data from Excel spreadsheet into that Access database. Worked several times before (including with some data in that spreadsheet) but now coming up with error (without any detaio about what's wrong). Spreadsheet contains loads of data on several worksheets and data has been worked on quite a lot (mainly for cleansing), all fields and formatting match those in Access and yet won't work any more. Any ideas as to what my be problem??

The Excel problem sounds like someone has put something in a cell that doesn't belong there, it is uaually text when Access expects a number. You should have an Import Error table generated with the rows and fields that have the error.

See if there is a left-over <name>.ldb file in the same directory as the <name>.mdb file. the LDB file (Lock Data Base) is where Access keeps track of who has the file open, which record is being accessed, etc. The LDB file is supposed to get deleted with the database is closed, but if there is a crash or something weird then LDB file can get left behind.

If you find an LDB file just delete it and try again.

Ok I have one more question-a few people have other versions of Access in my program and need to use the database that I created in Access 97. A few people tried and couldn't open it. Is there an easy way to converting this so they can use it on their computers? Thanks for the help.

Access should prompt them to either open the DB file or convert it to the newer version on startup. If it doesn't you can open the newer version of Access and go to Tools > Database Utilities > Convert Database.
Warning: Everything in your DB may not convert properly so be ready to do some work if this happens.

I don't support Access, nor have I been trained in it, but I've been asked if I can help in this problem.
An Access database connects externally to a SQLServer database at login time for the application. How do I find which external database they are connecting to? I know that there is a way to go behind the forms to see the source code, but I cant remember how to do this.
I cannot find an obvious User/System file dsn on the PC to give me a clue.

Here's the question- how do I open a form in an existing database from another db in Access 2010 using VBA and give it focus. I can open the external db and it's form but cannot figure how to give it focus. I'm trying to create a master form that will call various databases that each have a form. Seems simple, open the master menu, click on a button that then opens the called db and the associated form. Do my business exit the db and am back at the master form. I would be okay to just close the master db, all it has it the main menu or leave it open. Doesn't matter which I just want to open the called db and form and have its focus.

I have that version, there's doesn't seem to be that option. As an alternative, try selecting the records and applying left -- right -- top -- bottom borders (via Format -- Border).

I am working for a company that has four people (four different computers) entering data into four different Excel 2010 files on a shared drive. I would like to create a master file on my own computer for the purpose of generating reports. How do I create one Access database that includes all of the information from the four different excel files? I work in a non-profit that does not want to upgrade the ACT software. We are running 3 computers on XPPro as a peer network. We had to replace two of the computers recently when the old machines just died.

We had licensed copies of ACT! 2000 on all machines with a shared database on one of the rigs. We had three different operating systems on the old setup: W2K, Win98, XPPro. Now we have XPPro on all. Unfortunately when I reinstalled ACT on the two new rigs they won't recognize the database on the shared folder. The message is that the selected database is not an ACT database, even though it has the ACT icon in front of the name of the db.

I tried assigning a drive letter to the shared folder but to no avail. Now I am out of ideas. Any suggestions?

Hi this is the first Solved: 28.3 database??? 2000 GB Exchange time that i ve posted here or anywhere so lets give it a go About months ago I got hired on at a company that had previously not had an in house IT staff They had used an outside company for years and then moved to another company Solved: Exchange 2000 28.3 GB database??? about months before I came on board We have an Exchange server running on Windows fully updated and patched systems Normally this server runs quite fine It s only function is Exchange and a backup of itself at night There are separate servers here for other functions a windows File server and Database server and the recent Solved: Exchange 2000 28.3 GB database??? replacement of the Terminal Server used to be a with a Windows R Terminal Server Again its only function is Terminal Services for roughly about users Mail here has been flakey even though Exchange reports no problems on and off since i got here I cleaned up the server somewhat and fixed whatever problems were reported in the EV But every once in a while clients lose connection with the Exchange server not all clients either At the same time no clients can connect either The office is about half and half thin clients Desktops We do not use Cached mode Also every once in a while we get a failed message with a report back that relay is not allowed or temporarily unable to deliver or better yet an internal email being routed outside to our outside POP accounts just to be asked to route back to our server We do not have the MX record set to our server it is set to the outside pop system and our clients connect to both the Exchange and POP account Here s the rub this and other strange small inconvenient weirdo things told me that the database was either corrupt or approaching max size however the server reports in EV that after online defragmentation the Priv edb has mb of free space I figured it must be a corrupt database I spent alot of time trying to find the corruption tools to manual inspection of emails to reducing mailbox sizes you name it The problem still exists I recently thought what the heck i ll see what the physical size of the database file actually is a whopping GB From within Exchange manager i actually add up the KB size of each mailbox and it totals GB I just about had a heart attack Yet the store has not been dismounted has not reported an error has not reported any issues whatsoever I realize that the white space may account for some of it but over GB of white space Got any ideas how this previous company could have manipulated this server to allow that size of a database What can I do to fix it i m almost convinced that this is the source of our wierdo troubles here Any thoughts would be appreciated nbsp

Ok, I found the answer on my own, by fluke. Thought that I would post it here. Funny, this is something that I had no idea about.
Exchange Full Package Enterprise edition, does not have this size limitation. Therefore, it will not hit that cap off and dismount.

Here is information on how to know what version you are running, as no where in the MMC of Exchange, does it give you a version.

In the registry, located the following key:

I use a ACT by Best software It is a customer service sales databse program I just upgraded software ACT database 6.0 cannot use (Resolved) ACT 2000 to (Resolved) ACT 6.0 software cannot use ACT 2000 database the newest version mainly because it is suppose yo be able interface nicely with the PALM OS Anyways everything installed properly but the problem ocurred when I tried to convert the database that was created with the previous version of ACT called ACT I get a prompt from windows saying that I must be logged on as administrator in order to modify the ACT database I m doing this work on my new notebook and I m the only user on the notebook and I also have administrator privleges I will contact Best Software tomorrow during normal (Resolved) ACT 6.0 software cannot use ACT 2000 database business hours but I thought I would see I if I could get an answer tonight about why I do not not have administrator privleges and how can I get them If i don t Any help will be apprecieated Thankls in advance VC nbsp

According to what I've read, Access 2010 uses the same database format as Access 2007. So this should mean I can open and run a 2007 database (with a lot of VBA code) in Access 2010 with no trouble, yes?

So why do I have the feeling that something is not going to work? Is it because I have been through to many Access upgrades?

I am running VB to query Oracle using ado 2.6 and I have noticed that Windows Explorer does not respond when a long query is being processed by the server, however I am still able to run/sswitch-to programs using task manager.

Why is this happening? Is it a driver problem?

After a major crash I lost all of the Works Suite and had to reinstall it. Now the database crashes everytime I try to use it. Norton intercepts the crash and gives me this message:

However, I do not have ACT application on my computer, and am not able to work from the other (second) computer - person is using it all the time. Hello All,
Our company had a photo booth with an F-35 fighter jet at a recent technology show. Individuals were allowed to have there pic taken in front of the aircraft with a pretty model. Now I have over 2500 pictures and over 2500 individuals that need their pic emailed to them. I have an Access database with a name, email address and a picture. Each name has a different image. How can I automatically send each person their picture through Outlook? I would like it to automatically populate a new email with the address and corresponding pic then have it be sent on its way while I am home sleeping. Can this be done? Is there a command that can run a VB script in Access to accomplish this? I thank you profusely in advance.

Funny I had the same error last night. I ran Setup from the CD (from RUN prompt) checked off the access wizard. Then went and did what I was doing, it still asked to install the feature but it worked that time.

If that does not help the is an MS article, basically, if you are in "Break mode" of a module that could also cause it.

Is the stock used within your area ie by yourselves rather than being sold to a Customer?

I am unable to pen my database. It gave me an error message saying it is corrupted. I tried to do repair it but I was unsuccessful.

Don't you have any Back-ups?
Try opening a "new Blank" database and on the Main Menu, File>Get External Data>Import and then point it the corrupted file just to see if it can be opened that way.
If it can then on each set of Controls (tables, queries, forms etc) click selct all and then OK

I have this access database that I from another user which I want to customize so that I can use it. The form has about 28 records with a yes or no fields. Now what I need to do is add more records as I have stuff to add that will require the user to ans. with a yes or no answer. My problem is that I am unable to add more questions (lines or record). Is there a way to do that?

I have an issue with an access database. When I print out a report one of my columns only prints out 4 out of the 5 digits. This happens with 2 machines. It may be the version of True Type Fonts that are involved, can't you just increase the column width slightly.

If you want a form to open ready to take new data, set it's Data Entry property to Yes. (You'll find that property in the Data tab of the forms properties.) If I misunderstood the question, post back and give more details.

We use Accessdata base to keep track of all our orders. All of sudden two days ago, I go to the "main switchboard" and I get a blank order entry form. In that form, there is a small clickable box and when I click on that it says "The expression On Click you entered as the event property setting produced the following error: The expression you entered has a function name that Microsoft Office Access can't find. *** The expression may not result in the name of a macro, the name of a user-defined function, or [Event Procedure]. ***There may have been an error evaluating the function, event or macro."

I have no idea what this means. Please help.

The first thing to try after taking a backup copy of the Database is a "Repair & Compact" of the current one. You should open Accees, not the database and then choose Tools>Database Utilities>Repair & Compact. Choose the current database to repair and Compact and save it under a new name. Open the newly named, repaired database and see if it still has the same problem.

I have a DB that I did. It works fine except when I click on a cancel button on a text box and then it gives me the error shown below. Im totally lost as to why its doing this. Listen...I looked and can't find anything wrong with it. I recreated the button (find by director), and it appears to work fine...just tells you the macro has been cancelled.

This isn't the first time I've been unable to find something wrong with something in Access...I'm pretty sure it's not uncommon either.

I have a working Access database on a machine running WIN XP and MS Office 2003. I transferred that database file to a new machine running Vista Ultimate and MS Office 2007. When I try to open the database on the new machine, I get this message: missing reference dao2535.tlb. How do I resolve this?

I have a database where I enter part number description, and cost. I also have another database that is updated all the time with this information in it. I would like to be able to link or however you do it. I would like to lets say put in the part number and then when I push enter or tab the description and cost field populates.

you can link by selecting the table tab in the DB window and then click NEW followed by selecting Link. Then search for your other database and select the table you want to link to.

You will now have access to all the fields, it is the same as a table now except you may have sharing issues if the table is opened on the source DB.

You can use this linked table just as a regular table to make reports forms, queries etc. so you may not need the table you created with the same information as it is redundant.

So you can make a form with your linked table with a combo to select the product.
I don't know to what degree of detail you want or how much you know so if you need more help just post back.

I have created a tracking program using access the main tracking page contains name address phone numbers computer information etc I also have two fields that I insert the problem and then the fix then that is printed out to give to the customer whenever the customer brings their computer back in for service I do a search for their account and it brings up all the pre existing info There last problem and cure are still in there I access database would like to find some way if it s possible to make this dump the items to a database for each customer in case I want to go into it again and look at past events Then the next time I open their account the problem and cure fields are empty but their data past problem and cure will still be in there I almost have this program or database to where it will do everything that I want it to do Any help would be very much appreciated Thanks chad nbsp

I am using a form to enter data that is updated to table. The problem is that the calculated fields in the Form do not update in the table while everything eles does. Can anyone help please.

Generally, calculated data isn't stored in tables. There is no need for it. If you calculate data, you use it in queries or reports . . . when you create a report, you base it on your query, not your table.

What I have done is combine the Order Entry, Inventory Control and Customer Management databases together in Access 97 and Iím trying to get them to work together to be able to update when inventory comes in and goes out of my business.

Iím trying to figure out how to complete the actual receipt of merchandise on a purchase order in the database. I want to put in the current date or earlier (I may use yesterday's date when I finally get around to entering data) as my variables for the timing to update the inventory transaction table (units received and units on hand fields).

Can you give me the operators and operands in the expression builder and the complete proper syntax that I would need to tell an event has happened and to update the table.

Hi i created an access database for students that keeps track of their personal information as well as a monthly evaluation that they have to fill out, however i do not know how to create a button that i can place on the form that can allow the administrator to go to each student by either last name... sort of like a search engine. I don't know how to do this though, as well as just making a query that only gives me information for just 1 person and i don't have to manually put in the information in the criteria.. this i would also like to make a button or something of that sort..

I have an access database, one of the forms I am working with has a subform. I want to be able to print part of the main form, and parts of the suboform. I can do this by inserting the form key number and the subform key number, then it prints what I want. What I am looking for is to be able to be in a clients record and push print and without having to enter anything it prints the fields in the form and the subform that I have in a report. I hope this makes sense. Is there a macro that I can put together to do this?

The simplest way although it may not seem like it, is to do the following:
Create a Join Query that includes both tables/queries (whatever your using), and create Joins on the 2 Key fields (related), this query should then become the control source for you report.
Now in the new query go to the field that contains the data you will be selecting on the form. eg the ID for the Main form

In the criteria row right click and select Build, find your form and find the Id field control name. The syntax will be:

Now if you don't already have one, place a button on your form that opens the Report or query, it should only display the records for the selected records.

This called "Filter by Form"

I have an access 2003 database that calls a VB6 module. The module starts and then I get a run-time error 75 path/file access error. I can execute the vb module outside of access but I have to run as administrator for it to work correctly. What can I fix so that the call from access will execute? I believe the issue is with comctl32.ocx and the status bar control inside the vb module.

Hello, I am using Access 2000 and have created a database with a command button that opens up a report via a macro. I would like to know how to open up single reports instead of pushing a button that brings up every report, I've been able to open up reports that are based off of queries, queries that have paramenters that need to be inputted in order to bring up single unique records, but I would like to be able to just create a button that brings just that particular unique record-report off of that particular unique record on that form. Meaning that for a record that had just been inputted for John Doe on a form, I would like to know how to create a button on that form to pull up John Doe's single report without having to build a query that asks for a parameter. Is there anyway to do this?

You will have to adapt this to your own form setup; but it's just using the Where line of the OpenReport macro action.

If on the form MyFormName you have two controls called txtFirstNm and txtLastNm, and in the query underlying the report you have two fields called FirstNm and LastNm, you would put into the Where line of the OpenReport action:

[FirstNm]=[Forms]![MyFormName]![txtFirstNm] And [LastNm]=[Forms]![MyFormName]![txtLastNm]

Ive been trying to put a copy of my database onto a cd-r. "save & save as" on the file menu are always in faint writting and i can not select them. Any idea's as i desprately need to give a copy to my unie teacher? Help Me Please

First, make sure it is not Read-Only (right-click, Properties). If you are trying to save the whole database, then you should be able to save as to the CD. If you are trying to just save a table (or some other portions of the database), make a blank database and import those items into it.

Hi.. I've been asked to do up an access database to keep records for a computer workshop.. My knowledge on Access is a tad (ok maybe fairly) rusty..

Here's what I've got in mind.. (see attachment).. hope that you can read my scribble.

I'm just not sure on how to get access to actually perform the phone number lookup to see if the customer exists in the database, and also use the customers info to link (or fill) fields in the jobs table.. so basically each time a service job comes in the customer doesn't need to be re-created in the database each time.

I'm trying to import a database to an existing database. Both are identical, aside from their WO_NUM field, which distinguishes each record (and is primary key).

I have enough information in the database fields to make the database I want to import match. The problem is that the database is not allowing me to manually enter data. When I try a manual increment of the WO_NUM table, I am getting the following message:

I'm assuming you are importing the tables, it seems like you are importing the primary key also, that will cause a problem because there will be duplicates.

You can try dumping the table into Excel and strip off the ID column and then import the excel table or Paste it into the table. Access will create new ID's for it.

Hey all,

I have at least two user's that access a 212 MB Access database. It was working fine up to a few days ago. Now they are having some funky stuff happening. Using both or either Access 2000 and Access 2003 they are getting this error message some times when they try to open the database:

"You do not have exclusive access to the database at this time. Any changes you make may not be saved."

This happens to multiple users. When they access the database a .ldb file appears indicating it is locked. Some times the user can make changes and some times not. The file is located in a place similar to this: G:\share\subfolder\atc board database.mdb

I've Google'd the error message and haven't found anything that really fixes the issue. Any thoughts?

We have a in house made database here which gives an option to open PDF's while looking at a file, but when these are opened the pdf flashes up then closes immediately, any clues as to why, tried updating and re installing and joy joy

I've been tasked to set up an Access Database that will accept input from Excel spreadsheets Question Database Access from a template file that is created and distributed to several employees The files will contain about fields some inventory and some dollar amounts as well as a few contact information type fields I'm okay up until this point Now these templates will be completed once a month and turned in If the data was replacing the previous amounts in the fields I'd know how to Access Database Question do this easily but the daya needs to be tracked for each month So January will have a customer account with fields February that same customer account will have new data potentially in all fields So rather than have one record for each customer I'll need to have one for each month that goes by I may be sounding vague on this so ask questions as needed but I'm not sure how to go about this If I create a February record the customer info account number etc will all be the same so wouldn't that cause issues going forward If there's no easy way to do this does that mean Access might not be the best solution I believe Access was suggested so queries could be run to extract data

You can have two tables in Access, one with Customer account details with a unique ID (autonumber should work fine) and the other with the monthly transaction details.
When you are adding the data from the spreadsheet, you could update the existing customer details or add new customer details, and insert the transaction details in the other table for that customer using the ID as reference.

I haven't thought about this fully, so there could be gaps in the logic

1. Whenever you are adding the data from the spreadsheet, you would need to check if the customer already exists in the customer table and insert or update as necessary (if updating, get the customer ID for inserting the transactions).

2. Even when you are updating the customer record, you will need to make sure it has to be updated (could be spelling mistakes in the new record)

I am trying to install Outlook 2000. I get ..."Error 1919, error configuring ODBC data source, ODBC error 6, MS access database component not found in registry. Verify that the file MS access database exists and that you can access it." I have tried searching for this file with out luck. I have downloaded all XP updates. The "free" expert phone consultation that comes with certain services and hardwear, had me doing a lot of reconfiguring of my system to solve other problems. All kinds of things didn't work after that. I have finally managed to get every thing working again, but wonder if this is something else that the "expert" had me turn off. Any suggestions would be appreciated.

I am not sure what "AR, AP, CD,PR,JE, GL........etc." are, but it sounds like the overall design of the database may not be optimal.
The fact that you have to have the "move data from tables to GL" suggests that the data should be in a GL table but identified by it's source and split up via Queries for data input/editing.
As for item 2 it sounds like you should have a "Line Entry" sub table and subform for the Transactions.
Can you show me a screenshot of your table Relationships?

I decided to make a mde file with it out of curiousity. It has now taken my database and password protected it. I never set any password and as such cannot get access to the database.

It has taken my user name from my login, but it is not using my login password.

Access database not opening completly

I have a user that is having Microsoft Access 2003 issues. There is a database created for this base only but here is what is happening.

He moved from one building to another. At the first bldg. he had all rights and access. He moved the same machine to another bldg. and tried to log on. He was able to log on but he is unable to access certain parts of the database. We have changed his permissions so that he has full permissions and we have changed the macros to that it is low. When that didn't work we reloaded Office. None of that worked. Some things will give him an "open report error" but on others it won't give him any errors at all. It just dosn't open. Any ideas?

Is that on a domain? Or just a workgroup?

If it's a domain, you have a whole mess of permissions to check. Maybe you missed just one?

As an experiment. Try to copy the whole database, COPY, to his machine directly and open it from there. If he can't even access it locally, then there has to be a problem only between Access and the DB. Usually some kind of version conflict.

I have this database that I need to complete. I have completed the basics but can not seem to figure ot how to do the rest of it. Can someone help me.

Here is what I am trying to do:
1. Final section greyed out when no is selected for response
2. Change current stage field when key fields are populated
For example:
- When exit meeting is entered, the current stage should automatically change to tracking.
- When response needed is not checked, current stage should be completed.
- When response needed is checked, current stage should be in acknowledgement.
3. Have the BOG and Internal Due Dates Met fields automatically calculated in the background

In addition: I also need a switchboard created but I think I can figure it out. I do have reports I need though.
1. Open Report
2. Tracking Report
3. Completed Report
4. Acknowledgement Report

I am trying to help a person stuck with an old 1980s DOS database program called "SMART". The program SMART will output its database in a format that Access should be able to read, but Access can't seem to completely read the output database from SMART. Anyone run into a situation close to this?

Any ideas on how to solve this?

I am configuring a new machine with Windows Vista Home Basic and trying to access a database on a Windows XP professional machine acting as a server.. this is a peer to peer network..

I am running Microsoft Access 2002..

When I click on the icon it opens Microsoft access, but then I get an error that says

"Microsoft Access cannot open this file"
" This file is located outside your intranet or on an untrusted site. Microsoft Access will not open this file due to potential security problems."

It opens it fine if I copy the file to this computer..

What am I missing???

Both pc's are in the same workgroup and the file has security set for full access to everyone..

romlisys, can you create a new Blank Database on the "Server", close it and then open that?
If you can then I would suggest that you open that database and "Import" everything from the copy of the original on your computer (that you can open). You will need to import all of the
Tables, Queries, Forms, Reports, Macros and Modules. It is very quick because you can use "Select all" for each section.

If you can't open a new Blank database it would suggest that you have some "Folder" permission type problems.

I am planning/trying to build a database that will track the dates certain classes were taken by users, and if the classes were passed or not.

I have a option contract to recieve up to 10 apples per day for the next year. I share this contract with other people. I am creating a database that will let me know how many apples are available on any given day throughout the next year.

I am thinking that I will have to set up a table with a field for date and capacity. Then subtract 1 each time someone takes an apple on that day.

Is there a better way?

Currently I'm working on a project at work and am unsure as to what would be the best way of implementing the following concept: There is a need to track certain access to labs and software within the building. An end user should be able to submit a pre-created form (likely in infopath) and it should automatically be added to a database over a network drive.

I am happy to provide more detail of the task if needed, I just need to know what the best implementation of this concept would be. The process should be something an end user should be able to just submit without difficulty. Thanks in advance.

I have downloaded the book collection database from microsoft website but i would like to alter it a little.

When i am entering the details of book on the second box down you can click on the box and enter the books topic IE crime, romance, thriller and so onand then when you enter the next book you have only to enter the first letter and it is entered automaticly.

My question is how do i copy this feature as i would like to have another so i can easley enter where i got the books from without having to type all the infomation in.

49sam, I think that you are talking about a Combo Box. This can be added to the form using the Controls Toolbox Wizard, which creates it for you.

I want to make a database listing CDs and track titles. I can't figure out how to go about this, since the number of tracks vary so widely on different CDs. Some CDs have 23 tracks! Do I need to create 23 fields just for those few?

Better yet, can I make an expandable field that will keep creating new data fields as needed?

I know how to set up a basic database, so I don't need help with that.


A:MS-Access: How to Create a CD Database

The idea that you propose in having a single table that lists the CD Name (Album Name) and the tracks together as a single line item isn't a very effective method of making that database for exactly the reasons you raised. Rather than having them in one table, split them up and relate them.

The way I would go about doing this is...

Table 1: Albums
Fields: Album Name, Artist, Year, Genre, Whatever other fields you might add
Primary Key: Either make it a composite key with Album Name and Artist or create an additional field which contains a unique identifier such as a Number. I would suggest creating a unique field as the primary key as it is easier to work with.

Table 2: Tracks
Fields: Song Title, Artist, Album, Track Number
Primary Key: I would go with Song Title and Artist as a composite Primary Key.

Table 3: Artists (If you so choose)
Fields: Artist, any other info about the artist or group you wish to include.
Primary Key: Artist Name

The important thing is the relationships between these three tables.

Albums Table is related to Tracks Table in a One to Many Relationship (One album has Many songs).

Albums Table is also related to the Artist Table in a One to Many Relationship as well (One Artist may have Many Albums).

You need to determine what you want to have as your primary keys which will determine what the foreign keys will be in the related tables. For example, if in the Albums Table you use the Name and Artist as the Primary Key, then these fields would be related to the corresponding fields in the Tracks Table.

You don't have to follow my model exactly, but do you understand the idea of splitting up the Tracks and Album Names fields into different tables and relating them? This eliminates the problem of constantly having to add fields for new tracks. It'll also make queries significantly easier to sculpt.

hi all,
i would like to ask for database performance :

currently i split my ms access database to front end (form interface) and backend. the backend file i put on shared folder on dedicated pc, which i assume as server. the database then access by 10 staff, which having the frontend file on each pc. the backend file was ~20MB in size.

there's an option, which is upsizing the backend to be sql. then install ms sql server express 2008 r2 on "server" pc, then host the backend file and modified the frontend file so, it'll access the backend database on sql connection.

is this will increase any performance from current setting?

probably not the answer you are looking for but if you use MySQL (FREE for non commercial users) you will improve your DB performance compared with MS ACCESS by literally ZILLIONS of percent.

It's slightly more complex to get up and running but there are tutorials all over the web.

Beats running a "cut down version" of ms sql too.

Incidentally MySQL in combination with Apache, and PHP makes a great WEB server too (WAMP). Also compatable with Linux where the same combination is called LAMP.
